Email Setup Guide

How to Set Up Email on iPhone 12

Follow these simple steps to add a business email address to your iPhone 12 using IMAP. These instructions work for most professional email accounts, although some menu names may vary slightly depending on your iOS version.

iPhone 12 email setup

Before you start

To add your email account to an iPhone 12, you will need a few details from your email provider. In most cases, business email should be set up using IMAP. This keeps your emails synced across your phone, computer and webmail.

Depending on your iOS version, some of the menu names may look slightly different. The steps below follow the most common route for adding a business email account to an iPhone 12.

What you will need

  • Your full email address
  • The password supplied for the mailbox
  • Your incoming mail server
  • Your outgoing mail server
  • SSL and port settings

Email settings you will need

Use the settings supplied by your email provider. The example below shows a typical business email setup using secure IMAP and SMTP.

Email address yourname@example.co.uk
Username Your full email address
Password The mailbox password supplied to you
Incoming server imap.example.co.uk
Incoming type IMAP
Incoming port 993
Outgoing server smtp.example.co.uk
Outgoing port 465
SSL On for both incoming and outgoing mail
Authentication Password authentication required for both incoming and outgoing mail
Important: on the iPhone, the outgoing username and password may appear as optional. For most business email accounts, they are not optional. Enter your full email address and mailbox password for the outgoing mail server as well.

Step-by-step iPhone 12 email setup

Follow these steps to add your business email account to your iPhone 12.

Open Settings Start from the main Settings app on your iPhone 12.
Go to Passwords & Accounts or Mail On many iPhone 12 devices, go to Passwords & Accounts. On some iOS versions, go to Mail and then Accounts.
Add a new account Tap Add Account, then choose Other. Then tap Add Mail Account.
Enter your basic details Enter your name, email address, password and a useful description, such as your business name.
Select IMAP Choose IMAP at the top of the screen. IMAP is normally best for business email because it keeps your mailbox synced across devices.
Enter the incoming mail server Add your incoming mail server, username and password. Your username is normally your full email address.
Enter the outgoing mail server Add your outgoing mail server, username and password. Do not leave the outgoing username and password blank, even if the iPhone says they are optional.
Save the account Tap Next. If the details are accepted, make sure Mail is switched on, then tap Save.
Send a test email Send a test email to another address, then reply to it. This checks that both sending and receiving are working properly.

Advanced settings to check

If the iPhone accepts the account but email does not send or receive correctly, check these advanced settings.

Incoming mail

  • Account type: IMAP
  • Port: 993
  • SSL: On
  • Authentication: Password
  • Username: full email address

Outgoing mail

  • Server type: SMTP
  • Port: 465
  • SSL: On
  • Authentication: Password
  • Username: full email address

Troubleshooting

If the account does not work straight away, the problem is usually one of four things: the password, the server name, the port number, or the outgoing mail authentication.

If receiving does not work

  • Check the incoming server name.
  • Check the IMAP port is set to 993.
  • Check SSL is switched on.
  • Re-enter the mailbox password carefully.

If sending does not work

  • Check the outgoing SMTP server name.
  • Check the SMTP port is set to 465.
  • Check SSL is switched on.
  • Make sure the outgoing username and password are filled in.
Sending problems are often caused by missing outgoing authentication. The iPhone may say the outgoing username and password are optional, but most business email accounts still require them.
