Email Setup Guide

How to Set Up Email on an Android Phone

Follow these simple steps to add a business email address to your Android phone using the Gmail app. These instructions work for most professional email accounts, although some menu names may vary slightly depending on your Android version and device.

Android email setup

Before you start

To add your email account to an Android phone, you will need a few details from your email provider. In most cases, business email should be set up using IMAP. This keeps your emails synced across your phone, computer and webmail.

Android phones can look slightly different depending on the manufacturer and Android version. The steps below follow the most common route using the Gmail app.

What you will need

  • Your full email address
  • The password supplied for the mailbox
  • Your incoming mail server
  • Your outgoing mail server
  • SSL and port settings

Email settings you will need

Use the settings supplied by your email provider. The example below shows a typical business email setup using secure IMAP and SMTP.

Email address yourname@example.co.uk
Username Your full email address
Password The mailbox password supplied to you
Incoming server imap.example.co.uk
Incoming type IMAP
Incoming port 993
Outgoing server smtp.example.co.uk
Outgoing port 465
SSL On for both incoming and outgoing mail
Authentication Password authentication required for both incoming and outgoing mail
Important: on Android, the outgoing username and password may appear as optional. For most business email accounts, they are not optional. Enter your full email address and mailbox password for the outgoing mail server as well.

Step-by-step Android email setup

Follow these steps to add your business email account to your Android phone using the Gmail app.

Open the Gmail app Open the Gmail app on your Android phone. This app is commonly used to manage both Gmail and business email accounts.
Open your account menu Tap your profile picture or initials in the top right corner of the screen.
Add another account Tap Add another account. If you already have several accounts listed, scroll if needed.
Choose Other Select Other. This is usually the correct option for a business email address that uses your own domain name.
Enter your email address Enter your full business email address, then tap Manual setup if Android asks how you want to continue.
Select Personal IMAP Choose Personal IMAP. IMAP is normally best for business email because it keeps your mailbox synced across devices.
Enter the incoming mail server Add your incoming mail server, username, password, port and security type. Your username is normally your full email address.
Enter the outgoing mail server Add your outgoing mail server, username, password, port and security type. Do not leave the outgoing username and password blank.
Review and save Review the account settings, choose your sync options, then tap Next or Done. Your email should now start syncing.

Advanced settings to check

If the Android phone accepts the account but email does not send or receive correctly, check these advanced settings.

Incoming mail

  • Account type: IMAP
  • Port: 993
  • Security type: SSL/TLS
  • Authentication: Password
  • Username: full email address

Outgoing mail

  • Server type: SMTP
  • Port: 465
  • Security type: SSL/TLS
  • Authentication: Password
  • Username: full email address

Troubleshooting

If the account does not work straight away, the problem is usually one of four things: the password, the server name, the port number, or the outgoing mail authentication.

If receiving does not work

  • Check the incoming server name.
  • Check the IMAP port is set to 993.
  • Check SSL/TLS is selected.
  • Re-enter the mailbox password carefully.

If sending does not work

  • Check the outgoing SMTP server name.
  • Check the SMTP port is set to 465.
  • Check SSL/TLS is selected.
  • Make sure the outgoing username and password are filled in.
Sending problems are often caused by missing outgoing authentication. Android may suggest some outgoing details are optional, but most business email accounts still require them.
