Email Setup Guide

How to Set Up Email in the Outlook App

Follow these simple steps to add a business email address to the Outlook app on your phone or tablet. These instructions work for most professional email accounts using IMAP and SMTP.

Outlook app email setup

Before you start

To add your business email to the Outlook app, you will need a few details from your email provider. In most cases, business email should be set up using IMAP. This keeps your emails synced across your phone, tablet, computer and webmail.

The Outlook app can be used for Microsoft accounts, Gmail accounts and domain-based business email addresses. This guide focuses on adding a business email address manually.

What you will need

  • Your full email address
  • The password supplied for the mailbox
  • Your incoming mail server
  • Your outgoing mail server
  • SSL and port settings

Email settings you will need

Use the settings supplied by your email provider. The example below shows a typical business email setup using secure IMAP and SMTP.

Email address yourname@example.co.uk
Username Your full email address
Password The mailbox password supplied to you
Incoming server imap.example.co.uk
Incoming type IMAP
Incoming port 993
Outgoing server smtp.example.co.uk
Outgoing port 465
SSL On for both incoming and outgoing mail
Authentication Password authentication required for both incoming and outgoing mail
Important: the outgoing username and password may appear as optional in the Outlook app. For most business email accounts, they are not optional. Enter your full email address and mailbox password for the outgoing mail server as well.

Step-by-step: set up email in the Outlook app

Follow these steps to add your business email account to the Outlook app on your phone or tablet.

Open the Outlook app Open the Outlook app on your phone or tablet. If you do not already have it, install it from the App Store or Google Play.
Start adding an account Tap your profile icon or menu icon, then choose Add Account or Add Email Account.
Enter your email address Enter your full business email address, then continue to the next screen.
Choose IMAP if asked If Outlook asks what type of account you want to add, choose IMAP. IMAP is normally best for business email because it keeps your mailbox synced across devices.
Turn on advanced settings If Outlook does not automatically find the correct settings, switch on Advanced Settings or Manual Setup so you can enter the server details yourself.
Enter the incoming mail server Add your incoming IMAP server, port, username, password and SSL setting. Your username is normally your full email address.
Enter the outgoing mail server Add your outgoing SMTP server, port, username, password and SSL setting. Do not leave the outgoing username and password blank.
Save the account Tap Sign In, Add Account, Next or Done depending on the version of the Outlook app you are using.
Send a test email Send a test email to another address, then reply to it. This checks that both sending and receiving are working properly.

Advanced settings to check

If the Outlook app accepts the account but email does not send or receive correctly, check these advanced settings.

Incoming mail

  • Account type: IMAP
  • Port: 993
  • Security type: SSL/TLS
  • Authentication: Password
  • Username: full email address

Outgoing mail

  • Server type: SMTP
  • Port: 465
  • Security type: SSL/TLS
  • Authentication: Password
  • Username: full email address

Troubleshooting

If the account does not work straight away, the problem is usually one of four things: the password, the server name, the port number, or the outgoing mail authentication.

If receiving does not work

  • Check the incoming server name.
  • Check the IMAP port is set to 993.
  • Check SSL/TLS is selected.
  • Re-enter the mailbox password carefully.

If sending does not work

  • Check the outgoing SMTP server name.
  • Check the SMTP port is set to 465.
  • Check SSL/TLS is selected.
  • Make sure the outgoing username and password are filled in.
Sending problems are often caused by missing outgoing authentication. The Outlook app may suggest some outgoing details are optional, but most business email accounts still require them.
